Questions We Get Every Week

Straight answers on booking, pricing, the animals, and what happens on the day.

Everything below comes from real questions from Lifestyle Directors, office managers, daycare directors, and parents. If yours isn’t here, call or text 815-557-4630 — Dennis or Karen will answer.

Booking & logistics

How far ahead do we need to book?

For corporate, HOA, and daycare events, two to four weeks is comfortable — that gives us time to confirm headcount, print any custom T-shirts (artwork needed 7 days out), and get your paperwork into your approval process. Parties can often be booked closer in. December and back-to-school season fill first, so if you have a date in mind, hold it early. A deposit locks the date.

How do we book and pay?

Booking runs through Calendly — pick your date and time from our live calendar. Payment is handled through QuickBooks: we send a deposit invoice to hold the date (15% of the estimate, plus tax), and the balance is invoiced after the event. Credit card, ACH, and checks are all fine.

Do you need anything from us on site?

A little space for the stuffing station (a couple of tables help), a standard 110v outlet to plug into, and a room or covered area. That’s it — we bring the animals, the stuffing machine, the outfits, the birth certificates, and our team. Setup takes about 20–30 minutes and we clean up after ourselves.

Can the event be indoors?

Yes — indoors is actually our preference. Clubhouses, community rooms, offices, classrooms, fellowship halls, and living rooms all work. Outdoor events are fine under a pavilion or tent; we just need power and a flat spot.

How long does an event take?

Figure about 50 animals an hour per stuffing station, so a 100-animal community event runs about two hours. Bigger than that and we bring a second machine so it still lands around two hours. Corporate groups move faster — adults choose quickly — so a whole office finishes in about ninety minutes. Daycare visits are timed around your nap and meal schedule.

Do you carry insurance? Can you send a W-9?

Yes and yes. We carry liability insurance and can issue a Certificate of Insurance naming your association, company, or center as additional insured, usually the same day you ask. W-9s, vendor forms, and hold-harmless paperwork are routine for us — we work with HOA management companies and daycare chains all the time, so booking us won’t get stuck in your approval process.

Pricing

How much does it cost?

Large animals run $21–$36 each depending on quantity and whether you add a T-shirt or outfit; small animals for daycares run $14–$27. There’s a flat setup/travel fee of $25–$50 by distance, plus sales tax. Real numbers are on our Pricing page, with an instant quote calculator — no “contact us for pricing.”

Is there a minimum?

Events have a 25-animal minimum. Parties have a 14-guest minimum. If your group is smaller than that, you can still book at the minimum and let extra guests, siblings, or staff fill the gap — nobody has ever had trouble finding takers.

Does the price go down with more animals?

Yes, and it stacks: the first 50 animals bill at the first-tier rate, the next 50 at a lower rate, and so on. A 100-animal event doesn’t pay the small-event price for all 100. The calculator on the Pricing page shows the exact total.

Can residents or guests buy extra animals on site?

Yes. At HOA and community events, your association sponsors a set number and anyone after that can buy on site at a neighbor discount — cash, card, or Venmo. Your budget stays fixed and nobody gets turned away.

What's included with every animal?

The stuffable animal, the stuffing (done by the child, with a wishing star tucked inside), a birth certificate, and a backpack to carry it home. T-shirts and outfits are add-ons. Custom-printed T-shirts with your logo or event name are available for any event.

The animals

What animals do you bring?

Bears are the classic, but we bring a mix — dogs, cats, unicorns, dinosaurs, and seasonal characters. For themed events (a dinosaur day at a daycare, a holiday event, a company mascot) tell us and we’ll put the selection together around it. Large animals are about 16 inches; small animals are a daycare option.

Are the animals safe for young children?

The animals have no small or detachable parts — the only removable item is the optional T-shirt, and we can leave those off for programs that need to. Every animal is brand new, tags on.

Can we put our logo on the animals?

Yes. Custom-printed T-shirts are the most popular add-on for HOAs, builders, and companies — send us a PNG, JPG, PDF, or vector file at least 7 days before the event and we print them in house. One design per event unless you tell us otherwise.

Corporate events

How does the Corporate Give-Back Team Event work?

Your team spends about ninety minutes making stuffed animals together. Some go home with your people; the rest go to a local children’s charity — one you already support, or one from our Charity Partner Registry. You get a co-branded give-back certificate, office signage, event photos, and a one-page impact recap you can send up the chain.

Can we pick the charity?

Yes. If you already have a cause, tell us in your quote request and we’ll coordinate delivery with them. If you don’t, our Charity Partner Registry lists vetted local children’s programs — CASA chapters and family programs across the Hill Country — and we make the introduction.

Does it work for a conference or a big group?

Yes. We’ve run two years of programs at a 250-attendee association conference. It works as a member service project or as a family-program activity, and adults move through the line faster than kids do, so a whole office or a full conference room finishes in about ninety minutes.

Can this come out of a community-giving budget?

Often, yes. Because the animals go to a named charity, many companies fund it from a community-giving or CSR budget rather than the events budget. We provide the charity’s thank-you letter and the impact recap to support that.

HOA & community events

How does an HOA event work?

Your HOA sponsors a block of animals — say, the first 75 kids make theirs free — and we sell the rest on site at a neighbor discount. It’s one clean number for the board to approve, turnout is built in, and every family goes home with a keepsake. Tex, our mascot, comes along for photos and the newsletter.

What is Buy One, Give One?

Each child makes two animals — one to keep, one donated to a children’s charity. Same setup, same morning. A local sponsor (a builder, bank, or realtor) can cover the giving half so the HOA pays no more than a normal event, or the HOA covers both. The charity is your call. Every animal goes home with a sponsor-branded birth certificate.

Do you work with CCMC and other management companies?

Yes — we’re a set-up vendor with CCMC communities across the San Antonio and Austin areas and have run events at Redbird Ranch, Brookstone Creek, Steele Creek, Anthem, Copper Canyon, and others. Vendor forms, hold-harmless agreements, and COIs are routine.

Daycares & schools

How is the daycare program different from a party?

It’s a recurring enrichment program, not a one-time visit. Each quarterly visit pairs the animals with a teacher-led lesson — circle-time intro, vocabulary, a song, a wrap-up — matched to that day’s theme (dinosaurs, farm, ocean, holidays). No buses, no permission slips, no missed naps. Your center gets a locked rate and a protected date on our calendar.

What ages does it work for?

Any child who can hold an animal and help push the stuffing in — toddlers through elementary. Teachers stay with their groups; our team runs the station. Every child participates in a room they already know.

Can it be a fundraiser?

Yes. When parents are present and buying, we can run it as a fundraiser with a percentage back to the center or PTO. Ask when you book and we’ll set it up.

Parties & celebrations

What kinds of celebrations do you do?

Birthdays, baby showers, gender reveals, family reunions, church and community gatherings, scouts and clubs, holiday get-togethers, graduations. Every guest picks, stuffs, names, and dresses their own animal and takes it home.

How does a gender reveal work?

Guests make a keepsake animal to welcome the baby — or we reveal the news with a boy-blue or girl-pink bear outfit. It’s a hands-on memory the family keeps long after the cake is gone.

Where do you travel?

Twenty-three Central Texas counties — the Hill Country, Austin, and San Antonio: Bandera, Bastrop, Bell, Bexar, Blanco, Burleson, Burnet, Caldwell, Comal, Fayette, Gillespie, Gonzales, Guadalupe, Hays, Kendall, Kerr, Lampasas, Lee, Llano, Milam, Travis, Washington, and Williamson. We’re based in Blanco. See every town on our Where We Go page, or type your city into the checker on the Pricing page.
